Billing that keeps up with the counter

The screen the business lives or dies on. Full page, keyboard-first, no dialog.

  • ✓ Search never blocks: results in well under 50ms with live stock and nearest expiry shown inline, so the operator picks correctly without a second lookup.
  • ✓ FEFO batch selection by default. Overriding it is allowed and shows a quiet hint, not a block.
  • ✓ Enter picks the medicine, focus lands on quantity, Enter again commits the line and returns to search.
  • ✓ Hard blocks where it matters — expired batch, stock you do not have. Soft warnings where it does not — Schedule H1 without a prescription, a customer near their credit limit.
  • ✓ Split payment across cash, UPI, card, cheque, bank and credit. Held bills so the counter can serve the next customer.

Never lose money to expiry

The feature pharmacists judge the product on.

  • ✓ Buckets with value at risk: expired, this month, next month, 2–3 months, 4–6 months.
  • ✓ Colour-coded badges wherever a batch appears, carrying the date and the days left — never colour alone.
  • ✓ Return-to-supplier: select expiring batches, group by supplier, generate the challan, track the credit note against the supplier ledger.
  • ✓ Expired batches are excluded from billing search and can be written off in bulk to one adjustment.

Purchase entry from a photo

An extraction, then a review, then a save. The model never writes stock.

  • ✓ Photograph or drop the bill; extraction returns strict JSON with per-field confidence.
  • ✓ Arithmetic is recomputed independently — a mismatch flags the invoice rather than passing silently.
  • ✓ Names are matched against your medicine master plus a learned alias table, so by the third bill from a supplier the matching is near-perfect.
  • ✓ Batch number and expiry are always shown for confirmation regardless of confidence: those two cause real harm when wrong.

GST that is already filed

Tax is modelled at the line, not the invoice, so returns are aggregation queries.

  • ✓ Every sale and purchase line stores its own HSN, rate, taxable value and CGST/SGST/IGST split.
  • ✓ Place-of-supply against the store’s state code decides intra vs inter-state, automatically.
  • ✓ GSTR-1 with B2B, B2C-large, B2C-small, credit notes, HSN summary and document series — exportable as government-schema JSON.
  • ✓ GSTR-3B box by box, with drill-through to the invoices behind each number.

Every store on one screen

One organisation, many stores, each with its own GSTIN and number series (Free 1 store, Pro 2 stores, Pro Max unlimited stores).

  • ✓ Consolidated mode aggregates dashboards and reports with a store-wise breakdown.
  • ✓ Stock transfers commit both legs in a single transaction, so stock is never missing from both stores.
  • ✓ A shortfall on receipt posts a variance line for investigation rather than silently adjusting.
  • ✓ Store-scoped users literally cannot query another branch’s rows.

Prices that fit a distributor

A resolution chain, not a column.

  • ✓ Customer price list → class price list → class basis → item default → MRP, resolved once and used by billing, quotes and returns alike.
  • ✓ Classes carry the discount basis, credit terms, credit limit and whether a drug licence is required.
  • ✓ Price lists support quantity slabs and effective date ranges, so a new list can be staged and go live on its own.
  • ✓ Every line records which rule produced its rate, so the price is explainable six months later.

What Medox does not claim

It does not work offline. It copes with a slow connection — posting a bill is safely retryable, so a retry never bills the same sale twice — but a counter with no connection at all cannot bill. Offline billing is on the roadmap and we would rather say so than have you find out at 8pm.
